The 6-week Christmas party timeline

  1. 6 weeks out: pick the date and the format. December weekends fill fast, so decide early. Choose between a sit-down dinner, a drop-in open house, a potluck or a games night. The format drives everything else: food, space and budget.
  2. 5 weeks out: set the guest list and the budget. Count heads first. The headcount decides whether home works or you need a bigger room (see where to host your gift exchange).
  3. 4 weeks out: send the invite. Include the date, the start and end time, the address, the dress code, food plans (potluck or provided), and the gift exchange rules with a clear budget.
  4. 3 weeks out: run the gift draw. Draw names online so everyone has two to three weeks to shop. Ask everyone to add a wishlist to their private link.
  5. 2 weeks out: plan food, drinks and music. Order anything that needs ordering. Assign potluck dishes so you don't end up with six desserts.
  6. 1 week out: confirm and remind. Confirm the final headcount, remind people about the gift budget, and check you have enough chairs, plates and glasses.
  7. Party day: set up early. Lay out food, test the music, and prepare a spot for gifts and coats.

Christmas party checklist

How to split the budget

There is no standard figure, because costs vary a lot by city and by headcount, but a simple split keeps you on track. For a home party, food and drink usually take the biggest share, often around half or more. Decorations, disposables and games make up most of the rest. Set the gift exchange budget separately and per person, so nobody pays for the party through their gift. Common gift limits are $10, $20, $25 or $50. Our gift idea lists are organized around exactly those amounts: under $10, under $20, under $25 and under $50.

Potlucks are the easiest way to cut the food cost. A venue such as a restaurant usually charges per head, so get a quote and agree whether guests pay their own share before you book.

Christmas party games that actually work

Office party vs family party

The basics are the same but the priorities differ. Office parties need to be optional and inclusive, run during or just after working hours, and keep gifts low-cost and safe: no alcohol, no personal-care items, no jokes that could embarrass someone. Exclusions can stop managers drawing their direct reports. Read the full office Secret Santa guide. Family parties are about keeping couples from drawing each other, including kids fairly and keeping things calm across generations. See the family Secret Santa guide. Teams or families spread across cities can use a virtual Secret Santa with shipped gifts or e-gift cards.

The bit everyone forgets: the gifts

Most parties go wrong in the same place: someone draws a name they barely know and panics. That's why our generator asks for a photo and a few interests per person. Each Santa sees exactly who they're buying for, and gets suggestions they're more likely to love. Add their wishlist and it always comes first.

How far ahead should you plan a Christmas party?

Six to eight weeks for an office party, three to four for family. Lock the date first, then the venue, then the Secret Santa draw so every Santa has time to shop.

What games work at a Christmas party?

Secret Santa reveals, white elephant swaps, a Christmas quiz and a dice game keep a group talking. Pick two, and time-box each to twenty minutes.
