Secret Santa Sign Up Sheet: Template and Tips
A sign up sheet gets every name, contact detail, budget note, and gift preference on one page before you draw. Use the template below for a paper sheet or a pinned message in your group chat.

Start the draw โWhy use a sign up sheet at all
A draw only works when you have accurate names and a way to reach each person. The sign up sheet is where that information lives. It also settles the awkward questions early: who is in, what people will spend, and what gifts to avoid. Without a sheet, someone gets left out, two people buy for the same person by mistake, or you find out on exchange day that a participant has a nut allergy.
Collect details once, keep them in one place, and give the group a clear deadline. Then type the final list of names into an online draw and share the results.
The sign up sheet template
Print this table or copy it into a shared document. Each participant fills in one row.
| Name | Contact | Budget OK? | Gift interests | Allergies / no-go |
|---|---|---|---|---|
| Jordan Lee | jordan@example.com | Yes, $25 is fine | Board games, coffee, running | No strong scents |
| Priya Shah | 555-0142 | Yes | Cooking, houseplants, mystery novels | No candles, no alcohol |
| Mark Ortiz | mark.o@example.com | Would prefer $20 | Cycling gear, socks, sci-fi | None |
| Ana Ruiz | ana@example.com | Yes | Tea, puzzles, art supplies | Nut allergy (food gifts) |
Leave a few blank rows so late joiners have a place to add their details. A paper version on the break room wall works well. So does a shared spreadsheet, as long as everyone has edit access and knows the deadline.
What each column collects and why
- Name: Use the name people go by at the event, so the draw list matches the gift tags. Add a last initial if two people share a first name.
- Contact: One reliable channel, like an email address or phone number. The organizer needs this to send each person their drawn name and to follow up on questions.
- Budget OK?: A short check that the agreed amount works. If several people ask for a lower number, adjust the budget for the whole group before the draw. Do not let a few people quietly overspend.
- Gift interests: Three or four specific topics, hobbies, or favorite things. Specific beats vague. "Coffee and hiking" gives a shopper more to work with than "anything."
- Allergies / no-go: Food allergies, scent sensitivities, and items to avoid for personal reasons. Treat this as a practical constraint on what to buy, not a wish list.
How to run sign ups in a group chat
- Post a message with the event date, the budget, the exchange rules, and a hard deadline to join.
- Ask each person to reply in one message with the same five fields from the sheet: name, contact, budget confirmation, interests, and no-go items.
- Copy replies into your master sheet as they arrive. Do not scroll back to rebuild the list later.
- Send a reminder two days before the deadline to anyone who has not replied, tagging them directly.
- Close sign ups at the deadline, confirm the final roster in the chat, and note who is out.
How to run sign ups on paper
- Pin the printed sheet somewhere people pass daily, like a kitchen or break room wall.
- Attach a pen and add a clear heading with the deadline and budget at the top.
- Check the sheet once a day and follow up with anyone missing.
- Photograph the completed sheet before you take it down, so a lost copy does not undo the work.
- Mark it "Closed" once the deadline passes so no one adds a name after the draw.

Start the draw โDeadline tips
- Set the sign up deadline at least a week before the exchange, and make the draw date a day or two after sign ups close.
- State the deadline in the first post and repeat it in every reminder. Say the exact date and time, not "soon."
- Pick a cutoff that falls on a workday when people are likely to see messages or pass the sheet.
- After the deadline, send each participant their drawn name in a private message and confirm receipt.
After the sheet is filled: run the draw
Once sign ups close, you have a final list of names and contact details. Type those names into the online draw on our site, set any exclusions you need, such as keeping partners from drawing each other, and run it. The site gives each person a result that the organizer can pass along privately. Keep the finished sign up sheet for the event: it holds the contact details and gift notes you will want while shopping.
Common questions
From sign-up sheet to draw
When sign-ups close, type the names into the draw. Each person gets a private link that shows only who they buy for, plus the group budget, and they can add a wishlist there. Add exclusions so couples or housemates do not draw each other.
Collect sign-ups online with Organizer Pro
Prefer a link to a paper sheet? With Organizer Pro, open a sign-up link from your organizer page and post it in the group chat. Each person types their name, a wishlist and answers to your questions. Every sign-up is added to the draw automatically, up to 1,000 people. Close the link when the list is done, then send each person their private link. Sign-up closes for good once someone opens their result, so the draw stays fair.

Questions
What should a secret santa sign up sheet include?
Name, one contact method, budget confirmation, a few gift interests, and any allergies or no-go items. Those five fields cover the draw and the shopping.
Should the sheet be paper or digital?
Either works. Paper on a wall is visible and hard to ignore. A shared spreadsheet is easier to copy into a draw later. Choose the one your group checks most often.
When should sign ups close?
At least a week before the exchange, with the draw run a day or two after that. Announce the exact date and time and repeat it in reminders.
Do I need contact details for every person?
Yes. The organizer needs a private way to send each person their drawn name and to ask follow-up questions. One reliable email or phone number per person is enough.
What if someone misses the deadline?
Decide the rule in advance and state it with the deadline. Most groups close the roster at the cutoff so the draw stays fair, and late joiners sit out until next year.
