Secret Santa Template: Copy-Ready Messages for Organizers

Every message you need to run a smooth exchange, written so you can paste it into a text, chat thread or email and fill in the brackets. Each template matches how the private reveal links actually work, so nobody sends a wishlist to you and nobody sees an assignment early.

How to use these secret santa templates

Each block below is a message you can copy as-is. Anything in [brackets] is a placeholder you replace before sending. Keep the placeholders visible while you edit so you do not accidentally send a message that still says [budget].

One rule shapes every template: the draw happens on the organizer page, and the site produces one private link per participant. You share each link personally by text, chat app or email. The site does not email anyone, so no template should tell people to watch their inbox. Participants open their own link to see who they buy for, the budget and that person's wishlist, and they add their own wishlist on that same link. Their Santa reads it there. That means wishlists never travel through you.

Invitation templates

Office version

Office invitation: Hi everyone, we are running a Secret Santa for [group name] this year. The budget cap is [$ amount], and we will exchange gifts on [date] at [location or time]. If you want to join, reply to me by [opt-in deadline] so I can add you to the draw. Once the draw runs, I will send each of you a private link. That link shows who you are buying for, the budget and that person's wishlist, and it is also where you add your own wishlist. Please keep your link to yourself so the exchange stays a surprise. Any questions, message me directly.

Family version

Family invitation: We are doing a family Secret Santa for [group name] this year. The budget is [$ amount] per gift, and we will open gifts on [date] at [location]. If you are in, let me know by [opt-in deadline] and include the best email or phone number to reach you. After the draw I will send you a private link. It shows who you are buying for, the budget and their wishlist, and you add your own wishlist on the same link. Do not forward your link to anyone, even if they ask, because it would spoil the surprise. Couples and households: tell me if you want to be excluded from drawing each other, and I will set that before the draw.

Rules announcement with budget and deadline placeholders

Rules announcement: Here are the rules for [group name]. Budget: [$ amount] before tax and shipping, and please stay at or under it. Exchange date: [date]. Wishlists: add yours on your private link by [wishlist deadline] so your Santa has time to shop. Gifts: [handmade only / store-bought / gift cards allowed / other]. Labeling: write the recipient's name on the tag, not yours. Exclusions: I can exclude pairs from drawing each other, and exclusions apply both ways, so if you ask not to draw [name], neither of you will. Send me any exclusion requests by [exclusion deadline], before I run the draw. If you lose your link, message me and I will re-copy it from the organizer page.

Wishlist prompt template

Wishlist prompt: Time to fill in your wishlist for [group name]. Open your private link and add your list there, because your Santa reads it on that page and I do not collect lists. Helpful details to include: three to five things you would genuinely like, your sizes for [shirt, shoe, ring, other], colors or styles you prefer, and any no-go items such as [fragrance, alcohol, scented candles, clothing, pets, other]. Add a note about anything you already own so nobody duplicates it. Keep items within the [$ amount] budget. Please finish by [wishlist deadline]. If you cannot open your link, tell me and I will send it again.

One-week reminder template

One-week reminder: One week to go for [group name]. The exchange is on [date] at [location or time]. If you have not added your wishlist on your private link yet, please do it by [wishlist deadline] so your Santa is not guessing. If you have already shopped, thank you. Keep your gift within [$ amount] and bring it [wrapped / labeled with the recipient's name]. If you misplaced your link, message me and I will re-copy it from the organizer page. Please do not ask anyone else for their link.

Reveal-day note template

Reveal-day note: The draw for [group name] is done. I am sending each of you a private link now, one at a time, by [text / chat app / email]. Open your link to see who you are buying for, the budget of [$ amount] and that person's wishlist. Add your own wishlist on the same link if you have not already, because your Santa is reading it there. Do not forward your link or screenshot the assignment. If your link does not open, tell me and I will re-copy it from the organizer page. Gifts are due [date] at [location or time].

Thank-you note template

Thank-you note: Thank you all for making [group name] a good one. Gifts were thoughtful and the exchange ran on time because everyone added a wishlist and stayed within [$ amount]. A small ask for next year: if you have ideas for the rules, the budget or the timing, send them to me by [date] and I will fold them in. If you still have your private link, you can leave it alone; it will not be reused for the next exchange.

Gift tag message template

Gift tag message: To: [recipient name]. From: your Secret Santa. [One line about why you chose this, for example: I saw this on your wishlist and thought it suited you.] Happy [holiday or occasion] from [group name].

Keep the tag short. Write the recipient's name clearly and leave your own name off, since the tag travels with the gift and the reveal is the point.

What the organizer sets before sending anything

The draw needs a few details from you first: the names of everyone joining, any exclusions, the budget cap, the exchange date and the group name. Exclusions apply both ways, so if you exclude two people from drawing each other, neither will be assigned the other. Run the draw once the opt-in and exclusion deadlines have passed, then share the links personally.

After the draw you hold two things: an organizer link and one private link per participant. The organizer link is where you re-copy a lost link if someone messages you. The participant links are the only place people see their assignment, the budget and the wishlist of the person they are buying for. Nothing is emailed by the site, so your personal messages are the delivery method. Build that into your schedule: if you draw on a Friday, plan to send links that same day so people have the full shopping window.

Timing your messages

A workable sequence, with time estimates that are rough guides rather than promises: send invitations two to three weeks before the exchange and give people about three days to opt in. Send the rules announcement with the invitation or right after the opt-in deadline. Send the wishlist prompt the same day you announce rules, and allow roughly a week for lists to fill in. Run the draw and send reveal links the day after the wishlist deadline. Send the one-week reminder a week before the exchange, and the thank-you note within a couple of days after. Adjust to your group, but keep the wishlist deadline ahead of the draw so Santas are not shopping blind.

Common mistakes these templates prevent

Draw names with private links

Draw names on the main tool: each person gets a private link that shows only who they buy for, the budget, and that person's wishlist.

Running the exchange? Organizer Pro ($9.90 one-time per event) adds exclusion groups with automatic re-draw, anonymous questions between Santa and recipient, reminders and CSV export. See Organizer Pro

Questions

Do participants send their wishlist to the host?

No. Each person adds a wishlist on their own private link, and the person buying for them reads it on that same page. The host does not collect or forward lists.

How do people receive their assignment?

The organizer runs the draw and gets one private link per participant, then shares each link personally by text, chat app or email. The site does not send email, so the templates should never tell people to watch an inbox.

What happens if someone loses their link?

They message the organizer, who re-copies the link from the organizer page and sends it again. Nobody needs to redo the draw, and no assignment is exposed to the group.

Can the organizer keep two people from drawing each other?

Yes. Exclusions are set before the draw and apply both ways, so if two people are excluded from each other, neither will be assigned the other. Collect exclusion requests before the draw runs and mention the deadline in your rules announcement.
